Business Operations Manager - Maternity cover

Working closely with Little Barn Door Founding Director, Natalie Evans, the Business Operations Manager is responsible for the running of day to day business operations, client projects and line management of team members.

This role is a maternity cover which could be for up to 12 months.

What tasks does the role include?

Team Management

  • Manage team hours and shift allocation

  • Support team members with regular 1:1 meetings

  • Work with FD and HR Manager to review staff performance and manage in line with role expectations and policies

  • Work with FD and HR Manager to manage team absence and absence monitoring Oversee holiday dates and resourcing

  • Review resourcing requirements and forecast change

  • Work with FD and HR Manager to manage recruitment and resourcing

  • Ongoing communication with team on project expectations

  • Ongoing communication with team on company progress

Project Management

  • Monitor and tracking incoming and ongoing projects

  • Scheduling all project requirements, staffing and suppliers

  • Ensure logistics for installations and destages are effectively scheduled

  • Report on project progress

  • Build relationships with suppliers, partners,agents, and more

  • Manage and monitor budgets

Project Administration

  • Client liaison

  • Consultation bookings

  • Sales quotations

  • Produce client agreements, letters and completion reports

  • Oversee staging dates and extensions

  • Awareness of supplier agreements, trade accounts and insurances

Installation and Destage Support

  • Client key collections

  • Site visits

  • Inventory preparation and selection

  • Produce preview brochures & case studies

  • Installation and destage support if required

Inventory Management

  • Meet deliveries at the Barn or arrange for meeting

  • Manage the reporting of new stock and inventory

  • Update and record purchases in the inventory management system, recording details and damages

Sales/Marketing Support

  • Provide ideas for marketing campaigns

  • Order Marketing materials

  • Support with social media where required

  • Support with direct sales activity and lead generation 

Accounts

  • Use Xero to review project and departmental spend

  • Use Xero to raise quotes, invoices and credit notes

  • Add purchase receipts to Hubdoc

  • Work with Accounts team to prepare for month end accounts

Organisation

  • Book travel 

  • Record mileage from calendar

  • Management of office and facilities

  • Order office supplies


Requirements

Essential Requirements

Proven experience in a Senior or Managerial level Administration role

Background in business operations

Experience in project management 

Proven experience in line management of teams

Desirable Requirements

Experience in the property industry - development, estate agency, property sales

Knowledge of Xero
